Why is smartnumbers different from the standard telephone number I get with my Regus Workstation package?

The telephone number that is given as part of your workstation package is a number that’s fixed to a physical phone extension in the office. With fixed numbers it's difficult to enable desk-sharing or home-working because it is not possible to know which member of staff may be occupying which desk on a given day - or where to route calls to when staff aren’t in the office.

Regus smartnumbers is a ‘virtual’ number which means that calls to a member of your staff on this number can be routed automatically to wherever they are working. This may be to their ‘hot-desk’ within the Regus office, to their home, mobile or any other phone.

How does the Regus smartnumbers know where to route calls ?

As part of the smartnumbers service, you get your own personal web portal where you can set up your many points of contact (Regus office, home office, mobile phone etc) and can select which of these locations to use at any time. You can choose which of these locations to route your calls to, either through the web portal, or if you are on the road without internet access you can dial in and set this location over the phone.

The service remembers your last call routing location and will continue to use this until you select another.

What is the ‘Dual-Ring’ function and how
does that help ?

‘Dual-ring’ is a very useful feature of the service. When someone calls your Regus smartnumbers service it will ring both your current location (such as your desk in a Regus office) as well as your mobile phone. This is useful if you’re regularly on the move, for instance attending meetings outside your office, as calls to your Regus smartnumbers service will call your desk and mobile phone at the same time.

What else does the Web Portal provide?

The Web Portal provides a one-stop shop for all your telephony needs. It is used to;

  • Store the telephone number of your usual places of work, making it easy for you to set up your current location.
  • Set up your alerting and other communication options
  • See a record of all your incoming calls in terms of how they were handled (answered, missed, abandoned)
  • Show all your voicemails. The ‘visual voicemail’ service presents these as a list which you can simply press to play.
  • Provides a directory for storing important contacts which can be quickly click-dialled.
  • Where it has been enabled, provides a popup screen to control all your incoming calls. You can manage up to 4 calls on a single line, placing calls on hold, answering calls, diverting them to Regus answering service and other options.

Can I use my existing business number instead of a new number?

No, but as your smartnumbers service gives you a number for life you can use it for the entire life of your business, which may be for years after you leave the Regus network.

How much does it cost and what's the contract term for the smartnumbers service?

A subscription costs £9.95 per month. There is no connection charge and the minimum term is 3 months.

I'm leaving Regus. Can I keep my smartnumbers service?

Yes you can. We’re sorry that you’ve decided to leave the Regus Network. However, if you’re using a Regus smartnumber and want to retain this service please contact our helpdesk:

If you do wish to continue using your smartnumbers service, the following charges will apply:

  • A one-time connection fee of £25
  • A monthly rental of £15 per month, billed quarterly in advance.
  • Call delivery costs will be charged in addition. This ranges from 3p delivery to a UK landline and 14p to a mobile. Routing to international destinations vary.

Can these smartnumbers be dialled from overseas?

Geographic smartnumbers, such as those beginning with 020 in London or 0191 in Newcastle, can always be dialled from overseas. However, when it comes to non-geographic numbers such as 0800, 0845 or 0844, there is no obligation on overseas network operators to recognise or connect calls to these numbers. Therefore we cannot guarantee that calls to these numbers can always be made internationally. Should you wish to test to see if calls to the number type you require can be made from overseas, please dial the following test numbers from your required overseas location:

  • For 0800 numbers, dial 0800 xxx xxxx
  • For 0845 numbers, dial 0845 xxx xxxx
  • For 0870 numbers, dial 0870 xxx xxxx

If successful you will hear a recorded message stating the test has been successful. Calls made to these numbers will be charged in accordance with your international operator's call rates.
